Desk sharing & office space
What is desk sharing?
Desk sharing means not every person has a permanently assigned desk. Employees use or book available desks. Typical ratios reduce desks, office space and rent by 20–40%.
Common ratios are 0.6 to 0.8 desks per person, adapted to your own attendance peaks. In practice this results in 20–40% fewer desks and correspondingly less office space and rent.
Technically desk sharing needs a booking system, clear rules (clean desk, cancellation deadlines, team zones) and honest communication about the purpose. Socially it is a culture project: the lost personal desk must be compensated by a better office – focus rooms, good acoustics, storage – and by a proper setup at home.
Key points
- No fixed desks, use per office day
- Adapt the ratio to attendance peaks (guideline 0.6–0.8)
