Height-adjustable desk for the home office

Height-adjustable desk for the home office: who pays, what it costs, how it works – plus ergonomics tips, legal context and sourcing models for employers.

Height-adjustable desk for the home office – the short answer: a sit-stand desk lets you switch between sitting and standing while working from home. Who pays? In most cases the employer – via direct purchase, leasing or a workplace-as-a-service solution like onyo. What does it cost? Between ~€250 (entry-level) and ~€1,200 (premium models) to buy, or ~€15–40 per month on a lease. How does it work? Electric motor(s) in the frame raise and lower the desktop steplessly between roughly 65 cm and 130 cm, operated by a control panel.

Who pays for the height-adjustable desk in the home office?

Three approaches are common in Germany:

1. Employer provides the desk (recommended)

The employer procures the desk and provides it to the employee as a work tool. Tax-wise the cleanest option: no taxable benefit for the employee, fully deductible as a business expense, input VAT recoverable. Ownership stays with the company.

2. Workplace-as-a-Service / leasing

Instead of a one-off investment, the desk is leased monthly – including delivery, assembly, service and returns. Benefits: predictable opex instead of capex, no asset management, automatic replacement of faulty equipment. Onyo specialises in this model and delivers across Germany. The premium over outright purchase usually pays back through savings on logistics, returns and repair.

3. Flat allowance / reimbursement to the employee

The employer pays a contribution and the employee buys the desk themselves. Caution: flat allowances without receipts count as taxable salary. Only expense reimbursement against receipt is clean. Ownership transfers to the employee – no right of return on termination.

What does a height-adjustable desk cost?

CategoryPurchase priceLeasing / WaaSTypical features
Entry-level~€250–450~€15–20/month1 motor, lift speed ~25 mm/s, load ~70 kg
Mid-range (B2B standard)~€500–800~€22–30/month2 motors, memory presets, collision detection, load ~100 kg
Premium~€900–1,400~€32–45/month3-stage frame, ~38 mm/s, app integration, cable management

Add one-off delivery and assembly (~€80–150) – included in onyo's leasing model. A fully equipped home-office workstation (desk + ergonomic chair + monitor + keyboard/mouse) lands at ~€1,500–2,500 to buy or ~€40/employee/month under the onyo model.

How does a height-adjustable desk work?

The frame contains one to four electric motors driving a spindle inside two or three telescoping leg segments. At the push of a button the legs raise or lower the desktop in sync – the adjustment range is typically 65 cm (sitting) to 130 cm (standing). Higher-end models offer:

  • Memory presets: up to 4 saved heights for different users.
  • Collision detection: stops automatically when the desk meets resistance (cabinet, chair back).
  • Soft start / soft stop: jolt-free movement – protects motors and monitors.
  • App integration: reminders to switch posture, analytics on standing time.

Setting it up: the ergonomics rule of thumb

  • Seated height: thighs horizontal, feet flat on the floor, elbows at a 90° angle level with the desktop.
  • Standing height: elbows at 90° again, shoulders relaxed, top of screen at eye level.
  • Posture rhythm: occupational-health guidance recommends ~60% sitting, ~30% standing, ~10% movement across the working day.

For regular home-office and teleworking arrangements, German occupational-safety law (ArbStättV, ArbSchG) applies. The employer is responsible for ergonomic workplace design. A height-adjustable desk is not strictly mandatory, but works-council co-determination and occupational-health assessments make it the de-facto standard. The onyo compliance solution automates the documentation and instruction duties.

Frequently asked questions

Must the employer provide a height-adjustable desk for the home office?

Not strictly – but the employer is responsible for ergonomic design under ArbSchG. Once regular home-office or teleworking is agreed, the workplace ordinance applies and a height-adjustable desk is the practical standard.

Can I claim the cost on my taxes?

Yes. As an employee in Germany you can deduct a privately purchased desk as a work tool under income-related expenses (immediate write-off up to €800 net, otherwise over a 13-year useful life). As an employer you book it as a business expense.

Buying vs leasing – which is cheaper?

On paper, buying wins for long-term, single-user use (>5 years). Once you factor in turnover, logistics, repair and returns, leasing/WaaS pulls ahead – especially above ~20 employees working from home.

How much space does a height-adjustable desk need?

Minimum desktop 120 × 60 cm; ergonomically recommended is 160 × 80 cm. Allow ~80 cm of clear floor space behind it for the chair. The desk must travel up unobstructed – wall cabinets directly above are a problem.

What happens to the desk on termination?

Bought directly by the employer: it stays company property and is returned. Leased through onyo: we organise the pickup automatically. Allowance models: the desk transfers to the employee – no right of return.

Are there subsidies?

German statutory accident insurers (Berufsgenossenschaften, e.g. BG ETEM) co-fund ergonomic workplace design as part of prevention programmes, often ~50% of the cost (capped around €500 per workstation). Requirement: occupational-health recommendation or risk assessment.

Desk and chair belong together: selection criteria, subsidies and cost models for the ergonomic office chair for the home office are covered in the chair pillar.
